Privacy Policy

Effective Date: July 24, 2026

Welcome to Reflect Nightly. This Privacy Policy explains how we collect, use, and protect your information when you use our mobile application. We built this app to provide a private, calming space for voice journaling, and our data practices are designed to keep your reflections secure.

1. Data We Collect and Process

To provide Reflect Nightly’s reflection, personalization, and growth features, we collect and process the following categories of information:

  • Profile and Onboarding Choices: We collect your confirmed display name, selected focus area, and selected stressors. These choices help personalize the app experience and are stored exclusively locally on your device.
  • Mood Check-Ins and Reflection Insights: We collect the mood check-in you select before a reflection, together with the time it was selected. Mood check-ins are stored locally and are associated with saved reflections. They are used to tailor the tone of an AI-guided reflection and to display your personal mood history and weekly growth views. We do not include mood check-ins in analytics events.
  • Identity Archetype and Derived Insights: The app locally processes your onboarding choices and confirmed reflection information to generate and update an Identity Archetype and related progression data (such as current/previous archetypes, assignment dates, and supporting reflection counts). These are app-generated insights intended for personal reflection; they are not medical, psychological, or diagnostic assessments. Identity Archetype data is stored locally on your device and is not sent in analytics events.
  • Voice and Text Input: When you use a voice or text reflection, your spoken audio or typed content is processed to conduct the guided reflection, create a transcript where applicable, and generate an end-of-session summary. For AI-powered features, the needed inputs are sent securely to Google Cloud's Vertex AI Gemini API through Firebase AI Logic. Raw microphone audio is not saved by Reflect Nightly.
  • Journal and Reflection Data: When you confirm and save a reflection, the app stores your final transcript or edited reflection, user-approved summary, structured takeaways, mood check-in, and related reflection metadata locally on your device.
  • Temporary Recovery Drafts: If a reflection is interrupted, the app may retain an app-private recovery draft containing recent transcript content for up to five minutes so that you can resume. The draft is permanently deleted when it expires, is discarded, or the reflection is completed.
  • Continuity Personalization: If enabled in Settings, a limited selection of takeaways from recent, user-confirmed reflections may be used to make a later AI session feel continuous. We do not include full past transcripts for this feature, and you can turn it off in Settings.
  • Reminder and App Preferences: We store your reminder time, notification preference, continuity preference, app-lock preference, and other settings needed to provide the features you choose locally on your device.
  • Usage and Technical Analytics Data: We collect limited app-use and technical information to understand performance and improve reliability. This includes app opens, screen transitions, feature-use events, session duration, configuration requests, device or installation identifiers, and diagnostic error categories. We do not include display names, raw microphone audio, reflection text, transcripts, selected stressors, mood check-ins, summaries, takeaways, or Identity Archetype data in any analytics event parameters. We also send your selected focus area to Firebase Analytics to understand how different onboarding paths and app features are used and to improve the experience.

2. How We Use and Do Not Use Data

We use the information above to provide and personalize reflections; generate requested AI responses and summaries; maintain locally stored journal and growth features; schedule reminders; protect against abuse; troubleshoot failures; and understand app performance and feature use. We do not sell, rent, lease, trade, or use personal information for advertising or marketing profiles.

  • No Journal Content in Analytics: We do not include transcript text, generated summaries, mood notes, audio, takeaways, or Identity Archetype data in analytics event parameters.
  • No Hidden Clinical Profiles: We do not store or infer hidden mental-health labels, clinical diagnostic profiles, or psychological evaluations. Identity Archetypes are app-generated personal-reflection insights, not diagnoses.

3. AI Processing and Service Providers

The public version of Reflect Nightly uses Google Firebase services, including Firebase AI Logic, Firebase App Check, Firebase Remote Config, and Google Analytics for Firebase. Firebase AI Logic connects AI-powered reflection features to the Vertex AI Gemini API.

Voice and text inputs, including the limited continuity context described above when enabled, are transmitted securely to Vertex AI to provide the requested feature. Raw microphone audio is not saved by Reflect Nightly. Google Cloud states that it will not use customer data to train or fine-tune AI/ML models without the customer's prior permission or instruction. Google may process prompts and outputs for service operation, safety, abuse prevention, and caching under the applicable Google Cloud and Vertex AI terms. We do not control Google Cloud's independent retention obligations.

Google Analytics for Firebase may process a pseudonymous app-instance identifier and related device, app, and usage information. We review our analytics configuration and retention settings before public release and will update this policy if those practices materially change.

4. Storage, Retention, and Security

Reflect Nightly does not currently offer user accounts, cloud journal sync, or a service operated by us that stores copies of saved journal entries. Confirmed reflections and preferences are stored locally by the app until you delete them. Locally derived weekly and identity insights are removed when you clear reflection history or delete all local data in the app.

Android backup or device-transfer services may copy app data depending on your device and account settings. Exports are created only when you request them; after an export is handed to Android's document or sharing interface, the chosen destination controls that copy. AI inputs, Firebase service data, and analytics data are handled by the applicable provider as described above.

We use reasonable technical and organizational measures designed to protect information handled by the app. No method of electronic storage or transmission is completely secure.

5. Your Choices and Deletion

You can delete your local data at any time by:

  • Deleting individual entries directly within the app.
  • Using the in-app controls to clear reflection history or delete all local data.
  • Uninstalling the app, which removes the app's local data from the device.

You can also change reminder and continuity preferences in Settings and revoke microphone or notification permission in Android settings. Device backups, exports, and data processed by service providers may be subject to their own retention and deletion practices. Depending on where you live, you may have additional privacy rights; contact us using the details below to make a request.

6. International Processing

Our service providers may process data in countries other than the country where you live. When this occurs, the provider's applicable contractual, technical, and organizational safeguards govern the transfer and processing.

7. Medical & Health Disclaimer

Reflect Nightly is designed purely as a personal wellness and journaling tool. It does not provide medical, psychiatric, or psychological advice, diagnosis, or treatment, and is not a substitute for professional healthcare.

8. Children's Privacy

Reflect Nightly is intended for adults and does not knowingly collect data from individuals under 18 years of age.

9. Changes to This Privacy Policy

We may update this Privacy Policy as the app or our data practices change. We will post the revised version on this page and update its effective date. Where required by law, we will provide additional notice or obtain consent.

10. Data Controller & Contact Us

Reflect Nightly is developed and operated by Eoin Moore as an independent developer and data controller where applicable.
